Thermal vs. Inkjet Shipping Labels: Which Should You Use?

As soon as you ship more than a handful of orders a day, how you print labels starts to matter. The two main options — thermal and inkjet/laser — differ in cost per label, speed, and durability.
How thermal labels work
Thermal printers use heat to darken specially coated label stock — no ink, toner or ribbon for direct thermal. That means fewer consumables, faster printing, and lower cost per label at volume. A thermal shipping label roll feeds continuously, so you're not stopping to reload sheets.
Best for: medium-to-high shipping volume, warehouses, anyone printing labels all day.
How inkjet/laser labels work
Standard printers print onto adhesive label sheets (often A4/Letter with 1–4 labels per page). No special printer required — you use what's already on your desk.
Best for: low volume, occasional shipping, or when you already own a printer and don't want new hardware.
The real trade-offs
- Cost per label: thermal wins at volume (no ink); sheets are cheaper to start but pricier per label over time.
- Speed: thermal is much faster and roll-fed.
- Durability: direct thermal can fade with heat/sunlight over months; fine for shipping labels that are scanned within days. Laser toner resists fading longer.
- Smudging: inkjet can smudge if wet; thermal and laser don't.
A simple rule of thumb
Shipping a few orders a week? Print on sheets with your existing printer. Shipping dozens a day? A dedicated thermal printer with label rolls pays for itself quickly in time and ink saved.
Don't forget barcodes
Whatever you choose, make sure labels print crisp, scannable barcodes — blurry codes cause carrier rejections and delivery delays.
